Reports to/Position Title: Financial Management Specialist
Location: Tamale, Ghana

The Institute of Public Policy Initiatives (IPPI) is an independent non-profit leading policy institute engaged in cutting-edge research, advocacy, alternative policy analysis, capacity building, organizational and professional development based in Ghana. It was incorporated under the companies Act, 1963 (Act 179) to provide a platform for policy dialogue and to analyze development issues and formulate innovative policy solution in addressing development challenges through the contribution of the process of public policy development and management, public sector reforms and also enhance development communication for national development.

IPPI is seeking to engage Finance & Administrative intern to perform administrative support tasks in coordination and finance, to contribute to the strategic goals and objectives of the IPPI. The IPPI in the internship period of the first 5 months will comprise the Interim Director, technical staff and several technical advisors.

Responsible For
Duties and Responsibilities:
The Finance & Administrative Intern will be responsible for providing administrative, coordination and financial management support. Particularly, the Administrative & Finance Intern shall perform the following duties and responsibilities:Overall:Support the Interim Executive Director in ensuring the adherence of all projects and programs are in line with to IPPI’s rules and regulations.Financial management:
  • Monitor budgets and expenditures and contribute to budget planning and revision;
  • Ensure the financial transactions are authorized, recorded, filed with adequate supporting documentation, and maintained;
  • Prepare and submit timely and reliable financial updates, reports and statements;
  • Support the conduct of financial audits of the IPPI.
Human resources and procurement:
  •  Support the Interim Executive Director in administering recruitment and procurement of goods and services in accordance with IPPI rules and procedures;
  • Support the Interim Executive Director and staff in operational aspects of establishing a network of experts; NGOs, Universities, Research Institutions, and Industry players.
  • Create, update and maintain organized files and records related to such, ensuring confidentiality of records.
  • Coordinate operations, including purchasing, equipment, property inventory, building, equipment, and disposal
  • Maintain complete stock of all office supplies and accuracy of inventory
  • Connect with building vendors to carry out fixes and improvements
Administrative work:
  • Assist in coordinating the travel of IPPI’s management, staff, consultants and senior partners which relates to the implementation of IPPI’s Strategic Plan;
  • Assist in organizing and participate in work planning and progress reporting meetings;
  • Assist in organizing meetings and events with IPPI Advisory Board, IPPI Technical Working Group, NGOs Policy Advocacy Dialogue, IPPI Council Members; IPPI Research Seminar Series; IPPI Public Policy Dialogue Series;
  • Assist in organizing management meetings and other meetings;
  • Review and maintain written and computer files, plus conduct data entry.
  • Assist in the coordination of administrative functions, including personnel, meetings, and clerical duties.
  • Research, collect information and compile data on donors and funding partners.
  • Conduct desk review and search to respond to bids, tenders, request for proposals, request for quotation, and request for concept notes.
  • Help implement new programs, procedures, methods, and systems.
  • Conduct fiscal reviews, surveys, and collect information on administrative matters.
  • Responsible for preparation of confidential documents, letters and reports.
  • Help draft agenda, serve notice, write and maintain meeting minutes.
  • Coordinate and schedule hybrid meetings, seminars, webinars, and conferences.
  • Perform other relevant operational and administrative duties.
